1. Overview

Continental Internal Tools (the "Application") is a proprietary internal application owned and operated by Continental Fleet and Equipment Company, Inc. ("Continental"). The Application is used exclusively for internal business administration and is not distributed to or available for use by third parties. This Privacy Policy describes how data is handled within the Application.

2. Scope of This Policy

The Application is an internal tool used solely by Continental's authorized officers, employees, and contractors. There are no external end users. This Privacy Policy applies to authorized users of the Application within Continental.

3. Data Accessed by the Application

The Application integrates with the Intuit QuickBooks Online Public Accounting API to access financial data belonging to Continental Fleet and Equipment Company, Inc., including but not limited to: chart of accounts, customers and vendors, invoices and bills, journal entries, bank transactions, and financial reports. All such data is owned by Continental and pertains to Continental's own business operations.

4. Data Collection from End Users

Because the Application is for internal use only and has no public end users, the Application does not collect personal data from any external user. Authorized internal users sign in via Intuit's OAuth 2.0 authentication.

5. How Data Is Used

Data accessed via the Application is used solely for the internal business operations of Continental, including: accounting and bookkeeping, financial reporting, regulatory compliance (including HST/GST and U.S. federal and state tax obligations), customer and vendor management, and management decision-making.

6. Data Sharing

Continental does not sell, rent, or share data accessed through the Application with any third party, except (a) to Continental's authorized professional advisors (such as the Company's accountant) under engagement letters establishing confidentiality, (b) as required by applicable law or valid legal process, or (c) to Intuit, Inc. solely as required to provide the QuickBooks Online service.

7. Data Storage and Security

Authentication tokens issued by Intuit are stored securely within Continental's authorized cloud storage environment, protected by multi-factor authentication. Access is limited to Continental's authorized personnel. Tokens are rotated periodically in accordance with Intuit's published guidelines.

8. Data Retention

Financial data accessed by the Application remains within Continental's QuickBooks Online environment and is retained in accordance with Continental's record retention policy and applicable legal requirements (typically a minimum of seven years for U.S. tax records and six years for Canadian tax records).

9. Third-Party Service Providers

The Application relies on Intuit, Inc. for the QuickBooks Online service. Authorized users acknowledge that data within QuickBooks Online is also subject to Intuit's own privacy policy, available at https://www.intuit.com/privacy/.

10. Your Rights

Because there are no external end users, this Application does not collect data from data subjects outside Continental. For authorized internal users, requests regarding personal data should be directed to Continental's leadership.

Continental may update this Privacy Policy from time to time. The "Last updated" date below reflects the most recent revision.
